Normally, the total set of elements of a certain type can be reduced by using the filter feature of Relatics. Occasionally, we need to look at a particular subset of elements that can’t be identified using a filter. Some examples are:
- A received list of several requirements in a spreadsheet that needs to be updated.
- Five specific actions that are mentioned in an email that need to be completed today.
- Some specific risks you want to publish to Excel for review by a third party.
The Subset of Elements feature helps you identify those elements and present them in all your tables, similar to using normal filters.
Create a subset of elements
- In the overview or on the relatable elements pane, click on
Subset of elements. This opens a new dialog.
- In the dialog Subset of elements, type or paste a query to select one or multiple elements.
- Once the desired subset has been created, click Apply to confirm and close the dialog.
- The view will be limited to the selected elements, which are presented in the same order as given in the dialog.
Notes:
- You can work with a subset as long as the
Subset of elements button is active. Disabling the button will show you every element in the view’s default order.
- To use the feature, a table must contain no filters, and it is not possible to add filters to a view with an active
Subset of elements.
- To use the feature in a table of a type element with the archiving feature enabled, make sure the view is set to Live or archived, by using the
Switch archived state button.
Matching process of creating a subset using paste
A subset can be created with a dataset copied from within Relatics, a text (e.g., a mail body), or a table like Excel. When the dataset originates outside of Relatics, a matching process will take place to find the element belonging to the copied value. This matching will take place using the following rules:
- The elements will be matched based on their Relatics ID or the exact match of a property value of the properties published in the all elements view.
- Property values of the data types text and list will be excluded from the matching.
- All the values in the dataset need to have a match on the same type property, but multiple datasets can be used to form a subset.
- It is not possible to create a unique match by combining multiple property values.
