Highlight personal tasks with My to-dos

Collaboration is essential in projects, as project members need to execute various tasks. The My to-do feature optimally supports you in focusing on your work.

What are my to-dos

Use cases in a workspace represent processes with recurring tasks that need completion. For example, requirements must be reviewed, actions must be handled, or verifications must be performed. Some tasks can only be started after previous tasks are completed. For instance, requirements are not ready for the reviewer until the person responsible for developing the requirement has completed his work. A filter is needed that, for individual users, limits views of recurring tasks by only showing tasks that must be completed. This filtered view shows elements where the related person matches the logged-in user; in other words, it would show a to-do list.

The My to-dos feature offers a button on each overview that limits the results to only relevant elements for which you are responsible.

The My to-do button

The My to-do button () can be found in the ribbon of all overviews. It shows the number of elements with a defined to-do for the current user. After activating the button, the table only presents elements related to you. If the user has completed the to-do (e.g., changing an activity’s status property from ‘open’ to ‘done’), the counter will be updated to illustrate the progress.

Notes:

  • After activating the My to-do button, the result can be further limited by filters.

Overview of all My to-dos for the project

The start page of the workspace summarizes all the to-dos for the user of all type elements. This page offers a view of your workload and provides a direct link to those to-dos.

Configure to-do for a workspace

A My to-do is defined as a combination of a relation to the linked user type element and one or more values of the life cycle property. In other words, this means that an element must be in a certain part of its life cycle before a certain action can be performed, after which the element moves to the next life cycle stage upon completion of the action. For example, handling an action moves that action from the lifecycle status ‘open’ to’ done’.

Notes:

  • If more than one to-do definition exists for a type element (e.g., executing an activity and reviewing an activity), users can view all their to-dos on the all elements view of that type element.
  • The My to-do button is disabled if the type element does not have a to-do definition or if the current user is not linked a linked user.

Configure to-do definitions for a type element*

  1. In the workspace menu, click on  Type graphview.
  2. In the model, select the type element for which to enable my to-dos.
  3. Click  Edit. This opens the dialog Type element settings.
  4. In the dialog Type element settings, on the tab Advanced, in the field Life cycle property, select the type property representing the life cycle of the type element.
  5. In the dialog Type element settings, on the tab Advanced, in the field To-do definitions, click  New definition. This opens the dialog Create to-do definition.
  6. In the dialog Create to-do definition, in the field Life cycle value(s), select the life cycle values for which the to-do will be shown.
  7. In the field Type relation (with ‘to element’ linked to users), select the type relation representing the responsible person for performing this to-do.
  8. Click on Create. This closes the dialog Create to-do definition.
  9. In the dialog Type element settings, click on Update.

Notes:

  • A to-do definition can use each life cycle property value and type relation only once for each type element.
  • Type elements eligible for to-do definitions need to fulfill the following criteria:
    1. The type element must have a life cycle property configured.
    2. The type element must have a to-relation (not from) to the type element with linked users. It needs multiple to-relations for multiple to-do definitions.
    3. The type relations to the type element with linked users cannot be part of a collection.
* In the workspace, the user type of your user must be set to power user to enable this feature.
